SummaryThe Fleet Manager (FM) is responsible for ensuring the smooth transportation of different consignments from loading to the offloading point. He is also responsible for ensuring goods are delivered to the right location on time, to the quality required and in the most cost-effective way. Review general and backload fuel orders
Monitor and ensure supplied fuel at different fuel stations meet the required ISO cleanliness standards.
Review of Fuel out of budget and send to the head of operation for approval
Maintaining the records for the fuel issued to the trucks
Calculating and preparing fuel budget for all trucks (Front haul and back loads) and send it to the Head of operations for approval
Planning and Budgetary Control
Invoice confirmation for all Dar Es Salaam Sea Port clearing for SIEMEC Client. This is for fronthaul.
Loading Plans and Pre-alerts.
Route and trip expenses planning and budgeting submission to the head of Operations for every consignment.
Conduct route surveys to determine risks at each route
Booking and dispatch of trucks and drivers
Conduct trip briefing for all truck Drivers before Dispatched per every consignment and ensure that trucks have proper lashing gears.
Supervise the Trucks and ensure they are out of the yard for loading
Collect truck, trailer, and Driver Information for Booking.
Compliance
Ensure transit documents and truck stickers for all Vehicles in your fleet are fully complied and valid (Insurance, Maputo, LATRA, Road Permits, Fire Certificates, COMESA, etc.)
Ensure Drivers compliance (Health check-up, PPE, Vaccination, Book Passport, License) are valid and up to date prior and during their trips
Ensure compliance to Motor Vehicle Fire Safety Inspection Certificates, Fire Extinguishers, First Aid Kits)
Border Management
Review and confirm parking bills at Nakonde, Tunduma, Dar Es Salaam, etc and request for funds approval
Follow up with Border Clearing Agents and ensure trucks cross as per the set timeline
Escalating various Border Issues to Border Agents and Head of Operations
Expense review
Review and confirm all invoices for clearing Companies in Zambia (Charipe and Connex Africa) and submit for payment approval to the head operations.
Review and confirm the border agents service fee (Humphrey and Samson) and submit for Approval to the head of operation
Review and verifying all Out of Budget requests including OOB fuel, expenses such as traffic penalties, facilitations, wight bridge penalties, cargo rearrangements
Review driver Perdiems before, during and after closure of the trip
Reports
Generate truck Incident Reports and submit to the head of operations
Prepare and submit daily extra expense report for all out of budget trip expenses incurred to the trucks such as traffic fine, overweight charges, etc
Daily GPS status report for all trucks and action taken if any default found
Daily and weekly report on Trucks on breakdown
Trip reconciliation report for all fuel & extra issued to the truck Drivers
Submit Daily vehicle breakdown reports to the head of Operations copying the management team
Performance Review
Review Drivers Performance against number of trips
Review the performance of the Subordinates
Truck Performance Review for every trip
