Duties and Responsibilities:
Managing account related issues
Preparation of payment requests as well as controlling pricing issues/Monitoring spending
Daily postings, payments and reconciliations
Maintain an adequate Voucher and documents keeping system to ensure all documents are well kept
Produce cash flow forecasts and month cash requests to facilitate timely payments
Ensure all assets are well managed, secured and maintained at the location office
Ensure regular maintenance and functioning of the office equipment
Performing office duties that include ordering supplies and managing a records database.
Prepare meeting agendas and taking dictation and minutes and writing them up subsequently.
Producing reports and presentations on a weekly, monthly, quarterly and yearly basis.
Ensure all records for day-to-day administration work are in place and properly filled as per the company policy
Act as the point of contact among senior management, employees, clients and other external partners.
Track progress, deadlines, and priorities of all projects.
Handling all administrative tasks/ People and culture as assigned from time to time.
Supervise the general cleanliness of the office.
Monitoring employees’ daily attendance.
Assisting HR team with posting of general HR communications at the branch.
Manage information flow in a timely and accurate manner.
Screen and direct phone calls and distribute correspondence.
Welcoming and directing guests to their people of contact.
Take ownership of all financial and administrative documents, including invoices, delivery notes, purchase orders, and receipts.
Ensure all documents are properly filed, organized, and easily retrievable.
Maintain a systematic document management system, both in physical and electronic formats.
Collaborate with other departments to collect necessary documentation.
And any other duties as may be advised by supervisors
Educational and Experience Requirements:
Bachelor or Diploma in accounting or related field
Minimum one year experience in accounts or related field
Excellent communication skills
An excellent written and oral command in Kiswahili and English
Experience working in Agriculture field environment is an added advantage
Working Conditions:
Working station is Zanzibar
Travel may be required from workstation to other EA Foods offices
Accounts & Admin Officer will be required to work as per EA Foods Limited working conditions in terms of working hours and days and when necessary, employee may be required to work beyond working hours.
